Fair rescheduling and cancellation policies

Honest, plain-language terms for booking, paying, rescheduling, and cancelling sessions. These apply to tutoring engagements. Consulting and coaching follow their own scope of work, agreed during the intro call.

Payment

  • Invoices are sent through PayPal, which accepts credit and debit cards, bank transfers, and PayPal balance. You do not need a PayPal account to pay.
  • Tutoring invoices are due at booking. We hold your session time once payment is received.
  • Education consulting and academic coaching engagements are quoted during a free intro call. Invoices for those are sent before the first session begins.
  • Receipts are emailed automatically by PayPal after each payment.

Rescheduling

  • More than 24 hours before a session: reschedule any time at no cost. Just reply to your confirmation email or message us.
  • 12 to 24 hours before: one courtesy reschedule per month at no cost. Beyond that, the session is treated as a late change and the late-cancellation policy applies.
  • Less than 12 hours before: counts as a late cancellation (see below).
  • We will always try to find a make-up slot that works for your family, even when we cannot waive a late fee.

Cancellation

  • More than 24 hours before a session: full credit toward a future session, or a full refund to your original payment method on request.
  • 12 to 24 hours before: 50% credit toward a future session.
  • Less than 12 hours before, or no-show: full session fee. We have already prepped the lesson and held the tutor’s time.
  • Illness, school emergencies, and family situations are handled with grace. Reach out and we will work it out.

Session packs and refunds

  • 5-session and 10-session packs are valid for 6 months from the date of purchase.
  • Within 14 days of purchase: unused sessions are fully refundable at the single-session rate ($99), with the pack discount removed from the refund.
  • After 14 days: packs are non-refundable but can be transferred to another student in your family.
  • Refunds are processed back to your original payment method within 14 business days.

If we have to cancel

  • Life happens to tutors too. If we ever need to cancel, you will receive 100% credit toward a future session or a full refund. Your choice.
  • We will always give you as much notice as possible and offer a make-up time first.
  • If the same family experiences two tutor-side cancellations in a row, the third session is on us.

Our promise

  • These policies exist to protect everyone’s time, including yours. We are a small team, and every held session has a real tutor preparing for a real kid.
  • We try to lead with empathy. If something genuinely unexpected comes up, message us. We have parents and kids on our side of the table too.
  • These terms apply to tutoring sessions. Consulting and coaching engagements follow the terms in their individual scope of work.
